Sefaria, a nonprofit organization dedicated to building the future of Torah in an open and participatory way, seeks a dynamic and resourceful Chief of Staff to provide high-level administrative support and assistance to the CEO.

Position Overview

The Chief of Staff is a full-time exempt hybrid position based in New York City. The ideal candidate is a proactive problem solver with exceptional communication skills and the ability to prioritize competing demands. Strong writing skills, impeccable attention to detail, effective time management, and a collaborative, positive demeanor are essential.

This person should have relevant experience and be comfortable working in both in-person and remote environments. Relevant experience might include operations, administration, project management.

Much of the work will involve supporting the CEO’s key focus areas: fundraising, external relations, strategic operations, board management. This includes managing the CEO’s calendar and schedule, ensuring timely follow-ups, assisting with task completion, and handling email correspondence. The Chief of Staff will also draft and edit communications on behalf of the CEO, including ghostwriting emails and other materials.

Given the dynamic nature of the CEO’s role, the Chief of Staff must be able to adapt to changing circumstances, maintain consistency, and uphold the confidentiality of sensitive information.

The Chief of Staff will report directly to the CEO and work closely with senior members of the Strategy team. They will also serve as a liaison between the CEO and multiple stakeholders, including members of the Board of Directors, other Sefaria staff members, funders, and partners.

Responsibilities

Responsibilities include, but are not limited to, the duties outlined below.

  • Triage the CEO’s inbox; draft, proofread, and edit select correspondence — which can be sensitive and confidential — and send on the CEO's behalf.
  • Manage the CEO’s calendar, which includes a high volume of internal and external meetings; resolve any scheduling issues and ensure the CEO’s schedule is followed and respected.
  • Schedule board meetings, committee meetings, as well as internal meetings for the team.
  • Conserve the CEO’s time by reading, researching, collecting, and analyzing information as needed in advance of meetings.
  • Complete special projects for the CEO or other teams, including preparing memos and digital presentations.
  • Support the CEO and other executives as they develop, monitor, and communicate Objectives and Key Results (OKRs) to ensure alignment with strategic goals.
  • Help prepare and distribute materials for board meetings and interim board communication.
  • Attend meetings as requested, take meeting notes, and handle follow-up.
  • Provide a bridge for smooth communication between the CEO and other staff.
  • Prioritize conflicting needs and complete projects efficiently and successfully.
  • Record the CEO’s fundraising activities and contacts in Salesforce.
  • Arrange travel and accommodations for the CEO and other staff as needed.
  • Arrange in-person meetings, including booking, AV, catering, etc.
  • Staff fundraising events after work and occasionally on weekends (at least six per year).

Experience, Qualifications, and Requirements

  • Bachelor's degree or equivalent professional experience in a related field.
  • One year of relevant work experience; can include internships and work study positions.
  • Excellent writing skills: emails, memos, and presentation decks.
  • Comfortable managing multiple projects and deadlines simultaneously.
  • Superior time management and organizational skills.
  • Impeccable attention to detail and a commitment to accuracy.
  • Experience working in an administrative capacity with an eye toward systems thinking and efficiency.
  • Discretion with sensitive and confidential information.
  • Knowledgeable about or interest in Sefaria, Jewish texts, and Jewish community writ large, preferred.
  • Proficiency in working with the technology in an online work environment, including Google Suite, Slack, Zoom, Trello, and Salesforce (training will be provided as needed).

Compensation and Benefits

  • The annual salary range for this position is $53,000 - 63,000 depending on years of experience in a similar role.
  • Generous paid time off, including: 15 vacation days; 12 sick days; approximately 9 Jewish holidays and 10 federal holidays annually; and full closure for Passover.
